Who a legal virtual assistant is for

Remote legal support fits a firm when the attorneys do the admin work themselves, or when one in-house assistant is overloaded. Common signs:

  • New-client calls go to voicemail, and the caller hires the next firm on the list.
  • Invoices go out late, and overdue balances get no follow-up.
  • An attorney spends evenings on calendaring, data entry and client emails.
  • The firm needs 10 to 30 hours of help a week, not a full-time hire.

Remote assistant or in-house hire

The median wage for paralegals and legal assistants in the US was $62,890 a year, or $30.24 an hour, in May 2025. That figure is the wage only. An in-house hire also costs payroll tax, benefits, a desk, equipment and the time it takes to recruit and train.

A remote assistant costs only the hours you use. Start with the tasks that take attorney time today, then add hours as the work proves out. The cost guide shows how to compare the two.

Supervision and confidentiality

Your firm stays in control of the work. ABA Model Rule 5.3, Responsibilities Regarding Nonlawyer Assistance, makes lawyers responsible for reasonable supervision of the nonlawyers who help them, including people outside the firm. Set the assistant up the same way you set up an employee:

  • A named supervising attorney who reviews substantive work.
  • Written procedures for intake, conflicts and client communication.
  • A firm login for each assistant, with access to only the matters they work on.
  • A confidentiality agreement signed before the first day.

Check your state bar's rules and ethics opinions too. Some states add their own guidance on outsourcing.

Questions firms ask

What is a legal virtual assistant?

A legal virtual assistant is a remote staff member who handles the administrative and support work of a law firm: intake, calendaring, client updates, billing follow-up, document formatting and data entry in your practice management software. The assistant works under the supervision of an attorney at the firm.

Can a legal virtual assistant give legal advice?

No. A legal virtual assistant does not give legal advice, set fees, accept a case or sign for the firm. Those decisions stay with the attorney. The assistant gathers facts, prepares documents for review and keeps work moving.

How is a legal virtual assistant different from a virtual paralegal?

A legal virtual assistant mostly handles administrative work. A virtual paralegal does substantive legal support work, such as drafting pleadings for attorney review, organizing discovery and summarizing medical records. Many firms use both.

How much does a legal virtual assistant cost?

The price depends on hours, skills and location. For comparison, the median wage for in-house paralegals and legal assistants in the US was $30.24 an hour (May 2025, Bureau of Labor Statistics), before payroll tax, benefits, equipment and office space.

Who is responsible for the work of a remote assistant?

The firm. ABA Model Rule 5.3 makes lawyers responsible for reasonable supervision of nonlawyer assistants, including assistants outside the firm. Give the assistant written procedures, limited system access and a named supervising attorney.
